Otis Library and Museum Inc. Board of Trustees Meeting

Topics and Discussions and Actions:
I.      Previous Minutes of January 7, 2010
After review, motion was made by S. Graves and seconded by W. Scott to accept the minutes.  Motion carried.

II.     Librarian’s Report
Non-Fiction cataloguing completed.  Dewey Decimal Chart on Wall.

March Madness book sale drive sold bags filled with books from Book Sale Room.

April is “amnesty” month.  Late offenders may return all outstanding books, DVDs and other material with no penalty.  Aim is to try to retrieve long-standing overdue books that were loaned out.

Legislative issues:  WMRLS is closing and consolidating 3 offices into just one.  Most likely, the open office will be near Boston making it difficult for rural Libraries to receive books through ILL – if that system should even continue in operation.

Library is participating in TV turn-off week run by the FRRSD during spring vacation, April 12th-April 16th.  Story hour, older students open reading session – come in to read for ½ hour and then choose a book free from the sale room.  

The Museum is to be opened for the summer on April 19th.  Speak to Henry Wingate for tours.


II.     Librarian’s Report (cont’)
The surrounding area libraries are considering a joint venture for the Children’s Program to meet periodically and plan programs together.

K. Bort wanted the Board to discuss opening for “Summer Hours” – she suggested that we open for the same hours as last year.  Motion made by S. Graves and seconded by W. Scott to keep the hours the same as last year, providing the funds are in place.  Unanimously approved.

K. Bort to order new shelving for main room.  K. Bort also reported that PJ night video plus craft project was successfully held.

III.    Treasurer’s Report
N. Levin gave financial reports.  

Still waiting for firm date to meet with Selectmen to discuss the Library’s budget for FY 2011.

Donor plaques will be updated periodically.  W. Scott said she can take the names into GB so wooden plaque board can be added and names installed.

IV.     Energy Audit
Wires in the hall repaired, new fluorescents lights installed are all functioning well.
All work completed.

V.      Barrel Plantings
Donna Horrigan to plant the barrels once the weather improves.  The Library is to pay for the plants and materials.  Don Chaffee and Chris Bouchard will move the barrels into place.

VI.     Bicentennial
Saturday, June 12th the Board will participate in the parade.  A float will be made using B. Dyer’s wagon.  We will decorate it.  Several ideas were suggested.   On Sunday, while the Craft Fair is going on up at Town Hall, the Library will remain open.  All those coming in to sign up for Library cards will be entitled to a “bagful” of books from the Book Sale Room.  Tours for the Museum will also be available.

VII.    Summer Crafts Fair
The annual Summer Crafts Fair is to be held on Saturday, July 10th from 10:00 to 3:30.  N. Levin to update the Press Release and the Vendor Flyer and S. Graves will handle the advertising.  K. Bort and her staff will do a mailing to all previous vendors.

The next meeting will be held on May 6, 2010 at 7:00pm.
