Otis Library and Museum Inc. Board of Trustees Meeting

Topics and Discussions and Actions:
I.      PREVIOUS MINUTES OF June 3, 2010
After review, motion was made by Diane Dyer and seconded by N. Levin to accept the minutes.  Motion carried.

II.     GUESTS - Strickland Family
Three members of the Strickland Family attended our meeting, Claire Strickland (Wife of Wilbur), Edwin Strickland II, and Clifford Strickland.  Prior to meeting with the Board, they had expressed interest in ascertaining whether or not the items had been donated or were just on loan.  The Board assured the family that the items had been donated and that we must presume that all items in our museum are donations in the absence of the express written documentation to the contrary.   The Stricklands also expressed concern that certain items might be missing or had been given away prior.  The Board members assured them that nothing had been released under this Board and that we would check to see if anything was on file to indicate if any items were on loan.  

Edwin Strickland then remained and explained that he is a Research Genealogist and a restorer of antique fabrics.  He also expressed interest in a particular "Snow Quilt" in the Museum's collection that his Grandmother had donated and wanted to have it appraised and restored for posterity, at his expense, as well as getting an appraiser in to go over the entire contents of the Museum, at the expense of the Library.  The Board assured him we would look into their concerns.
III.    LIBRARIAN'S REPORT
Need for air conditioner for the Children's room since the Summer Program will soon be in full swing.  W. Scott made a motion and D. Dyer seconded it and it was passed unanimously.  

The Writing Course sponsored by the Recreation Center will be held in the Roosevelt Room on Mondays from 10:00am - 12 noon for 8 weeks and K. Bort will be in to open the Library for them.

The new shelving and the new desk are in and installed by the vendor, BBE in Pittsfield.  The space architect will return concerning a construction grant offered by the Commonwealth.

All set with CW MARS to proceed.  One more DSL to be installed by CW MARS for their dedicated lines and the Library will takeover the existing line so patrons can get out to the internet.

III.    TREASURER'S REPORT
N. Levin gave financial reports.  

The Library has received the Certificate of Compliance from the Commonwealth for fund raising for the calendar year.  This will be renewed each year upon the filing of the Annual Report when the tax returns are filed.  

IV.     BICENTENNIAL
The float was a huge success as was the entire Bicentennial Weekend.  Special thanks to W. Scott and D. Dyer for their hard work.  Also thanks to Bill Dyer for the loan of the wagon and his assistance.  

VI.     BOARD OF HEALTH MEETING
The meeting on the testing of the water took place and the Library will continue to only have bottled water as drinking water.

VI.     SUMMER CRAFTS FAIR
The Fair is imminent and it appears to be headed for a record number of vendors.
A. Weinstein reviewed all the components one more time.  All is set and we are looking forward to another successful event.
